Privacy Policy

Last Updated: May 2026

1. Overview

RoomSpark LLC (“RoomSpark,” “we,” “us”) provides a digital guest hub for hotels. This policy describes how we handle information when properties use our dashboard and when guests open public guest pages (typically without a RoomSpark account).

2. Hotel team accounts

We use authentication providers (such as Clerk) to manage sign-in for hotel staff. This may include your email address, name, and session data needed to operate your account. We use this information to provide the service, secure access, and communicate about your subscription or support requests.

3. Property & guest-facing data

Content you enter in the dashboard—such as Wi‑Fi details, amenity hours, menu references, staff notification contacts, and branding—is stored and used to display your guest hub. You are responsible for ensuring you have the right to publish that information and that it complies with applicable privacy laws toward your guests.

4. Guest use of public pages

Guests who scan your QR code or open your guest link generally do not sign in to RoomSpark. We may process limited technical data (such as IP address, device/browser type, and timestamps) for security, reliability, and abuse prevention, as is standard for websites.

5. Cookies & analytics

We may use cookies or similar technologies required for authentication and site operation. If we enable optional analytics, we will describe them here and, where required, provide choices to opt out.

6. Service providers

We use trusted infrastructure and payment processors to run the Platform. They process information only as needed to provide their services to us and are bound by appropriate agreements.

7. Retention & deletion

We retain account and property configuration data while your subscription or relationship is active. You may request deletion of your account subject to legal or billing retention requirements. Contact us at the email below.

8. Children

The Platform is not directed at children under 13. We do not knowingly collect personal information from children.

9. Changes

We may update this Privacy Policy from time to time. We will post changes on this page and update the “Last Updated” date.
